Where are my documents?
|
|
|
Your documents and index information are
stored remotely in a secure data center
location. This data center is where the
InsDoc server farm is located. Both our
servers and databases are redundant and
backed-up for optimum availability,
reliability, and disaster readiness.
In addition to the backup we provide at our
data center, every InsDoc customer can
backup their files locally at anytime.
Simply go to the Backup button located on
the toolbar and choose a location to export
your files to, such as a PC, server, or
removable USB hard drive. InsDoc will then
export all of your files in their original
format to this location. During subsequent
backups, the system will perform an
incremental backup in order to expedite the
process. If you need to search your backup
directory, simply right click the folder and
use the Windows search to locate your files
by their file names.

Do I have to sign a
contract? |

No. InsDoc is a month to month service and
you can cancel at anytime. Upon
cancellation, your account will be marked to
expire and you will have the rest of that
month to export your files out of the system
using our built-in export tool. If you do
not remove your documents within that time
period, you will have to pay for an
additional month of service to reactivate
your account and complete the export.
If you pay for InsDoc on an annual basis,
you will not receive a refund for the
remaining months that you paid for. Your
account will be expired upon your
notification to us via email that you have
finished exporting your data and no longer
need access to your InsDoc account.

Any TWAIN driver scanner will automatically
work with InsDoc. Simply attach the scanner

How do I scan documents
with InsDoc? |

InsDoc allows you to
either scan files one-at-a-time or in
batches. When scanning batches
(multiple-files-at-one-time), InsDoc allows
you to print barcode pages or stickers that
act as separators. These separators tell the
software where one file begins and ends.
InsDoc can also be configured to separate
documents manually or by setting the
document page length if they are consistent
(e.g. If all documents are one page
invoices, set separation to fixed pages

Yes. You can create document types in InsDoc
that each have their own unique index
fields. For example, you can create an
invoice document type that contains an
invoice number field and a contract document
type that contains both a name and contract
number field. There are no limits on the
number of document types and fields per
document type that you can create.

How do I index files in
InsDoc? |

InsDoc allows you to
build document types for each category of
file you want to scan or import into the
system. For example, if you wanted to scan
contracts, you could configure a document
type that had two index fields: contract
number and contract type. For the contract
type, maybe you want to have a drop down
menu with three choices: vendor contracts,
services contracts, and legal contracts.
After you configure this document type, you
will scan or import your files. At scan or
import, you will be able to key in the
contract number and select the contract type
from the drop down list. This will tag the
documents and provide the criteria you will
use to search for them in InsDoc. For more
